Manager, Constituent & Donor Relations
Full-Time, Exempt, Remote Position
Position Summary:
Wake Up Narcolepsy (WUN) seeks an enthusiastic, detail-oriented Manager, Constituent & Donor Relations to strengthen our mission and expand our impact. This full-time, exempt, fully remote position will play a critical role in managing donor and volunteer engagement, executing outreach initiatives and elevating WUN’s visibility and effectiveness. The Manager will steward the organization’s CRM, facilitate donor recognition, support multifaceted communications and drive special projects and events.
Key Functions & Responsibilities:
- CRM & Fundraising Platform Management
- Oversee and manage the organization’s CRM to ensure accurate, timely capture and appropriate sharing of donor and volunteer data with the WUN team.
- Oversee and manage fundraising platforms ensuring compatibility and data transfer to CRM.
- Develop and maintain robust protocols for data entry, security and integrity, ensuring compliance with all guidelines (IRS, Massachusetts regulations, AFP Donor Bill of Rights).
- Run routine and special data queries for outreach, segmentation and reporting needs.
- Proficiency in fundraising platforms is required; responsibility includes generating reports and supporting data-driven decision-making.
- Donor Stewardship & Gift Acknowledgement
- Ensure timely, personalized acknowledgment to all donors, maintaining meticulous records of all contributions.
- Adhere to AFP’s Donor Bill of Rights and all IRS and Massachusetts state guidelines for recognizing and recording gifts.
- Track and manage both monetary and in-kind donations with accurate documentation and thoughtful stewardship.
- Develop and implement donor cultivation and recognition strategies, including stewardship activities, appeals and special communications.
- Support the development and execution of fundraising appeals, newsletters and impact reports in collaboration with the WUN team.
- Facilitate timely communication and documentation transfer related to revenue and expenses with the financial officer and executive director.
- Volunteer Outreach & Engagement
- Maintain a comprehensive volunteer outreach calendar, coordinating emails, texts and phone calls for effective engagement.
- Assist in onboarding and training new volunteers, ensuring understanding of WUN’s mission, policies and expectations.
- Assist WUN’s volunteer lead with presentation materials and coordinate both national and regional cohort meetings to advance and inspire grassroots advocacy and fundraising.
- Outreach & Special Events Support
- Assist with planning, coordination and execution of special events (virtual and in-person) to raise awareness and deepen engagement.
- Represent WUN at conferences, community events and webinars to build relationships and increase organizational visibility.
- Research and identify new funding opportunities, including grants, partnerships and matching gifts.
- Meetings, Presentations & Stakeholder Communications
- Coordinate meetings as needed, prepare supporting materials and ensure effective follow-up for internal and external stakeholders.
- Assist with Board and constituent communications and prepare presentations for board, committee and other meetings (PowerPoint, Zoom, Google Meet required).
- Support executive director as needed.
- Data & Program Evaluation
- Monitor outreach campaigns and fundraising initiatives, using analytics and stakeholder feedback to recommend improvements.
- Support WUN’s social media strategy by managing engagement analytics.
- Assist with execution of constituent surveys as needed.
- Stay informed about trends in philanthropy, digital fundraising, donor engagement and stewardship.
Qualifications & Desired Skills:
- Bachelor’s degree or equivalent experience in nonprofit management, communications or a related field.
- Experience working in nonprofit settings is required.
- Ability to thrive in a fully remote, matrix-oriented work environment.
- Proficiency in CRM and fundraising platforms as well as all Microsoft and Google platforms.
- Exceptional written and verbal communication skills; ability to craft compelling, mission-driven messages.
- Experience in outreach, event planning and donor/volunteer engagement.
- Ability to travel domestically (no more than 10% of time).
- Strong organizational skills and attention to detail, with the ability to manage multiple projects and deadlines.
- Knowledge of Narcolepsy and/or Idiopathic Hypersomnia is preferred.
